Salesforce Education Cloud from applicant to alumni, stage by stage

A university in the Gulf or Egypt meets the same person many times: as an enquiry from a fair or a webinar, an applicant, a student with an adviser and perhaps a scholarship, and a graduate the alumni office wants to keep close. Each moment tends to live in a different system, from a marketing tool and an admissions portal to the student information system (SIS), advisers’ inboxes and alumni spreadsheets. Nobody sees the whole person.

Salesforce’s Education Cloud is built to hold that span on one platform, with Marketing Cloud for events and nurture. This guide maps each stage to the product, sets out what should stay in the SIS, and covers Arabic and English. For the wider picture, see our education outlook.

From enquiry to alumni, stage by stage

Education Cloud has its own education data foundation on the core Salesforce platform and does not run on the older Education Data Architecture (EDA), so moving from EDA is a migration. Its modules cover recruitment and admissions, academic operations, student success, student financials, and advancement and alumni relations, and its data model holds applications, reviews, decisions, programmes, terms and consent for each contact point.

The table draws on Salesforce’s datasheets for recruitment and admissions and student success and its advancement and alumni page. The applicant portal is powered by Experience Cloud.

Stage In Education Cloud Decide before you build
Enquiry Website enquiries feed campaigns and staff assignment, predictive alerts flag high-intent prospects, and a programme finder filters by location and major. Enquiry sources, from fairs and agents to WhatsApp, and how leads are assigned by programme and country
Events The Student Recruitment agent answers questions and registers students for events and campus tours at any hour. Marketing Cloud sends the messages. Where registrations and attendance are recorded, and the next step after each event
Application A mobile portal on Experience Cloud, dynamic forms, a document checklist, reminders to recommenders, and parents or agents applying on an applicant’s behalf. Forms per programme family, document rules for each country’s qualifications, and what an agent may see
Review and decision Reviews by stage, configurable rubrics, scoring against programme criteria, and a Transfer Credit agent that estimates credit for prior study. Who reviews which programmes, how foreign qualifications are assessed, and letters in Arabic and English
Scholarships and aid Financial Aid Insights shows aid from application to disbursement, with a Financial Aid agent for questions. Salesforce’s pages name no separate scholarship module. Sponsors and their conditions, renewal rules, and which system pays the award
Admitted to enrolled Care plans for admitted students, aimed at summer melt, when admitted students fail to enrol. Which system creates the student ID, and when the SIS takes over
Advising and success Success teams, appointments with drop-in queues, alerts, care plans, wellbeing pulse checks, a mobile student portal, and an Advising Support agent that generates student summaries. Which SIS and LMS data feed the alerts, and who may read advising notes
Alumni and advancement Alumni engagement and mentoring, pledges and donations, a branded portal and directory, and prospect research. When a graduate becomes an alumni record, and consent for fundraising messages

Read the right-hand column first. Each decision involves another office, from the registrar to finance, and is cheaper to settle on paper than in a sandbox. Scholarships can reuse the application, review and decision tools, so agree criteria and reviewers before the forms are built.

Events and nurture with Marketing Cloud

Open days, information sessions, webinars and education fairs fill the recruitment calendar, and reunions fill the alumni one. Each follows one pattern: invitation, registration, confirmation, reminders, the event, and a follow-up that differs for those who came and those who did not. Marketing Cloud carries the messages. Keep registrations, attendance and the next step in Education Cloud, where admissions staff see them.

Design the data flow before the emails. In Marketing Cloud Engagement, each automated campaign admits contacts through one entry source, such as a data extension, or an API event for activity outside Marketing Cloud. Decide where registrations land, from your forms, the recruitment agent or a webinar platform, and how attendance comes back, so the AI scoring that adapts nurture can see it. Send each message in the language chosen on the form, and test Arabic subject lines and right-to-left layouts on phones.

What stays in the student information system

Salesforce describes Education Cloud as CRM plus next-generation SIS capabilities, from catalogue design, registration and degree planning to fees and billing, released over time. A university with an established SIS should decide, domain by domain, which system is the master.

  • Programmes and terms: master in the SIS or curriculum system, copied to Education Cloud for the programme finder, applications and advising.
  • Applicant to student: the SIS creates the student and the ID, and sends the ID back so the applicant’s history stays attached.
  • Grades and attendance: from the SIS and LMS into Education Cloud, where record alerts on changes in grades or attendance prompt an adviser.
  • Fees and scholarship payments: master in the SIS or finance system, with the status visible to advisers.
  • Graduation: the SIS confirms the award, and Education Cloud moves the person to alumni relations.

MuleSoft says its platform connects campus systems such as Banner, Canvas and Blackboard through APIs. Whatever the tool, carry the student ID, programme code and term code on every record, log failed messages, and reconcile counts daily in admissions peaks. Our MuleSoft team designs and builds this layer.

The handoff that needs the most design is from admitted applicant to enrolled student. Agree which system creates the student ID, when it reaches Education Cloud, and which office owns the record on each side, before anyone builds a form.

Arabic, agents and governance

  • Names in two scripts. Applicants carry names in Arabic and Latin script across passports, IDs and certificates. Hold both, and match on both before merging duplicates.
  • Letters and portals. Offer and decision letters and portal pages need Arabic and English versions, reviewed by people.
  • Agents with review. Salesforce’s product page lists agents for recruitment, transfer credit, course search, advising, student goals, student financials and philanthropic research. The datasheets give no release status, so check each one before you plan around it. Arabic is Beta for service and employee agents, so plan human review and a quick route to an Arabic-speaking adviser. Our Agentforce Readiness Assessment picks the first use cases.
  • Confidential advising. Interaction summaries follow the org’s sharing rules, so design sharing for wellbeing notes with student services.
  • Consent. Some applicants are still at school and apply with a parent. Record consent for each channel, under the data protection law of each country you recruit from.

Our education work

Arcsen is a Salesforce Summit partner with 170+ consultants and 400+ certifications, working from Dubai, Riyadh, Jeddah, Doha and Cairo, and our delivery is Arabic-first. On the Qatar campus of HEC Paris in Doha, admissions run on Education Cloud, with applicant and alumni portals and event campaigns in Marketing Cloud. Our work for MBZUAI, the Middle East’s first AI university, covers admissions, advising, scholarships and alumni on Education Cloud and Marketing Cloud, with MuleSoft and AI. African Leadership University, the pan-African university, has Education Cloud and Marketing Cloud integrated with the systems it already runs. At AUC, student relationship management for the continuing education team was rebuilt on Education Cloud, Marketing Cloud and AI.

Where to start

  1. Draw the stages from enquiry to alumni on one page, with the office, system and data each one uses today.
  2. Agree the SIS boundary domain by domain, starting with the student ID handoff.
  3. Start with recruitment and admissions for one intake, with Marketing Cloud carrying the events.
  4. Add advising once SIS and LMS data arrive reliably, then alumni relations and advancement.
  5. Already on Salesforce, or on EDA? Start with a health check of the org.

Frequently asked questions

What does Salesforce Education Cloud cover?

Recruitment and admissions, academic operations, student success, student financials, and advancement and alumni relations, on the core platform with its own education data foundation. It does not run on the older Education Data Architecture (EDA).

Does Education Cloud replace our student information system?

It can take on parts of it, as Salesforce releases SIS capabilities over time. A university with an established SIS can keep it as the master for enrolment, grades and fees, and integrate it.

Can Education Cloud manage scholarships?

Salesforce lists Financial Aid Insights and a Financial Aid agent, with no separately named scholarship module. Scholarship applications can reuse the application, review and decision tools, with payments in the finance system.

Can Marketing Cloud run our open days and webinars?

It runs the invitations, reminders and follow-up. Keep registrations and attendance in Education Cloud, and design how they reach Marketing Cloud first.

Does Education Cloud work in Arabic?

Plan and test for it: names in both scripts, bilingual letters and right-to-left portals. Salesforce lists Arabic as Beta for its service and employee agents, so plan human review.
