A manufacturer in the Gulf or Egypt answers the same questions every day from outside the company. Distributors ask where an order is and where the delivery note went. Service partners file warranty claims without the serial number or the invoice. Technicians on site call the office for a manual or a part number. The answers sit in the ERP, a shared drive or an inbox, and customer service copies them into emails, in Arabic and English.
These questions suit AI agents, provided the agent reads the same ERP data as your staff and never decides on price, credit or warranty. Here are the four agents we would build first, what each needs, where people stay in charge and how to test them. Our guide to Salesforce for manufacturers in the Gulf and Egypt covers the records underneath.
Four agents worth building first
Salesforce lists pre-built templates under Agentforce for Manufacturing, including Warranty Claims Assistance, Sales Planning and Asset Service, and says listed solutions may not be currently available, so confirm each one in your org.
1. Distributor and dealer self-service. On your Experience Cloud partner portal, a signed-in distributor asks where an order is, when it ships, what is available and where the invoice or certificate is. The agent answers from the ERP through integration, shares only that distributor’s own documents and opens a case for the rest. Certificates and spec sheets come from the same masters as your website, as our guide to manufacturer product content describes.
2. Warranty claim intake. The Warranty Claims Assistance template covers intake, eligibility checks and status. On the manufacturing partner portal, an Experience Cloud site, Warranty Lifecycle Management records a claim item for the defective asset, with fault date, repair date and usage, and coverage for the causal part, fault code and asset warranty. The agent collects those details with the serial number, photos and purchase invoice, checks the serial against the installed asset and its warranty, and submits a complete claim.
3. Field service assist, for technicians. For Field Service technicians, Agentforce runs inside the mobile app: a brief with customer history and asset details before the visit, answers from your knowledge sources on site, a draft service summary afterwards. Dispatchers use it to locate required parts. The technician decides the repair and checks the summary before it goes on the work order.
4. Account reviews, for sales. An internal agent compares each sales agreement’s planned quantities with actual orders and realized prices from the ERP, flags accounts behind plan and drafts the review pack: agreement performance, forecast, open opportunities, cases and claims. The Sales Planning template surfaces run-rate agreements, demand forecasts and opportunity data in conversation, and Salesforce says its agents can flag account deviations for sales planning. The account manager owns the review.
| Agent | Channel | Data and systems it needs | Actions it may take | Where a person takes over |
|---|---|---|---|---|
| Distributor self-service | Partner portal, signed in | Orders, deliveries, invoices and stock from the ERP, product documents | Report order status, show availability, share own documents, open a case | Price requests, credit holds, delivery date changes, disputes |
| Warranty claim intake | Partner portal, web chat, WhatsApp | Installed assets and serial numbers, warranty terms, fault codes | Check coverage, collect evidence, submit the claim, report status | Approval, rejection, part payment, goodwill, safety incidents |
| Technician assist | Field Service mobile app | Work order, asset history, manuals as knowledge, parts stock | Brief, answer from knowledge, draft the summary | The repair decision, out-of-warranty charges |
| Account reviews | Salesforce, internal only | Sales agreements, ERP orders and prices, forecast, cases and claims | Flag accounts behind plan, prepare the review pack | Prices, agreement changes, rebates, credit terms |
What the agents need
Build each agent in Agentforce Builder from subagents, Salesforce’s current name for topics, with instructions and actions. Five things decide whether it works:
- ERP data through APIs. Orders, deliveries, invoices, stock and credit status stay in SAP S/4HANA, Infor M3 or Oracle. MuleSoft for Agentforce enables API operations as agent actions and syncs them to Salesforce, so the MuleSoft APIs you already run can serve the agent. Start read-only.
- Records in Salesforce. Installed assets with serial numbers and warranties, sales agreements, cases and claims: the agent checks every claim against them.
- Identity and scope. Salesforce’s private actions require verifying the user’s identity in the messaging session first, and its own example triggers verification when a customer asks about order status. Every ERP call takes the distributor’s account from the session, and the agent ignores account numbers typed into the chat.
- Field access. Salesforce disables data masking through the Einstein Trust Layer for Agentforce Service Agent, to improve performance and accuracy, so field access is your control: the agent user never sees cost, margin or credit limit fields.
- Knowledge with owners. An Agentforce Data Library grounds the agent in knowledge articles, files and websites, through a retriever in Data 360 (formerly Data Cloud). Each manual, installation guide, warranty policy and spec sheet needs an owner and a review date.
Plan for Arabic. Salesforce’s language support page lists Arabic as Beta and says Beta languages may be inconsistent when retrieving information. Test every agent in both languages with your own part numbers, and route Arabic conversations it cannot serve to an Arabic-speaking team.
Guardrails and handover
Each agent hands over to the country, product line or distributor queue with a summary and the conversation, and tells the user what happens next. The service agent answers conversations the user starts, so claim decisions and delay notices go out from flows. MuleSoft’s documentation warns that topic instructions are nondeterministic and should hold no sensitive or deterministic business rules, so keep pricing, credit and warranty rules in the APIs and flows the agent calls.
- Pricing: only prices already approved in the ERP or the agreement. No quotes, discounts or price protection.
- Credit: the agent may say an order is held and route it to credit control. It never releases an order or changes a limit.
- Warranty: the agent collects, checks completeness and reports status. Approval, rejection, part payment and goodwill stay with adjudicators.
- Agreements and rebates: people negotiate every change.
- Safety: any report of injury, fire, smoke, or an electrical or gas hazard goes to a person at once.
Testing before launch, measuring after
Build a test set per agent from real distributor emails, claims and technician questions, anonymized: Arabic, English and mixed messages, part numbers typed in different ways, a serial number from another distributor’s territory, a claim missing its invoice, a request for a discount. Write the expected subagent, action and answer for each.
Agentforce Builder’s preview offers Simulate, with mock data, and Live Test, with real data. Test Suites in Agentforce Studio, labelled Beta, run dozens or hundreds of scenarios and compare expected and actual subagents and actions. Run them in a sandbox with ERP test data, because testing can modify CRM data.
After launch, report by agent, country and language: containment, which Salesforce’s dashboards call deflection; handover quality, from a weekly sample; claims complete at first submission; summaries technicians accept unchanged; and complaints. Agentforce Observability adds analytics, session tracing, sentiment by intent and escalation alerts. Set targets against your own pre-launch baseline.
Our work with manufacturers
The agents in this guide sit on records and integrations like these:
- El-Araby Group: Egypt’s home appliances maker moved from Dynamics 365 to Salesforce and runs after-sales, warranty and self-service visits on Service Cloud and Experience Cloud, linked to SAP S/4HANA.
- Zahid Group: four business units run leads, quotes, agreements and service cases on one Salesforce platform, with Manufacturing Cloud, Revenue Cloud CPQ, a customer portal and Infor M3 integration.
- Johnson Controls: twelve line-of-business sales models unified on one governed platform across the region.
- Hepworth: Qatar’s pipe systems maker moved Sales Cloud into its own org, with Process Builder rebuilt as Flows and quotes generated in Mambo.
Where to start
- Pick one agent and one channel: order status for a few distributors on the portal, or warranty intake for one product line.
- List the ERP data it needs and expose it as read-only APIs first.
- Write the guardrails and handover queues, and name an owner for every document the agent shares.
- Build the Arabic and English test set and run it in a sandbox until the results hold.
- Pilot, measure against your baseline, then add distributors, product lines and agents.
Frequently asked questions
Can an AI agent give distributors order status from our ERP?
Yes, through actions that call ERP APIs, for signed-in, verified distributors. The ERP stays the source, and each distributor sees only its own orders and documents.
Can Agentforce approve warranty claims?
It should not. The Warranty Claims Assistance template covers intake, eligibility checks and status, and approval, rejection and goodwill stay with your adjudicators.
What does an agent do for field technicians?
In the Field Service mobile app, it briefs them before the visit, answers from your knowledge sources on site and drafts the service summary.
Does Agentforce support Arabic?
Arabic is Beta in Salesforce’s language list, so test in both languages and route Arabic cases the agent cannot serve to Arabic-speaking staff.
Which agent should a manufacturer build first?
Start where questions repeat most and the agent decides least, such as distributor order status or warranty intake for one product line.
