Race weeks and tournaments: AI agents for fans, members and sponsors

A Grand Prix weekend, a cricket final or a festival puts its busiest days on the calendar months ahead. In the hours before gates open, fans ask the same things in Arabic and English: where are my tickets, which gate do I use, can I bring a bag, is there step-free access, has the session moved? Members ask about renewals all year, and sponsors chase their deliverables.

AI agents on Salesforce can carry much of this, if they are built for the peak, work from approved content and live systems, and hand refunds, safety and accessibility to people. These are the agents we would build first for sports bodies, event organizers, broadcasters and publishers.

Four agents worth building first

  • Fan service, on web chat, WhatsApp, the app and the phone. Casey, the help agent Salesforce named in September 2026, works across voice, SMS, WhatsApp and web chat, with FAQs, account management and human escalation built in. In March 2025 Salesforce wrote that the United Football League’s agents would answer questions about ticket purchases, products and stadium policies, and about parking on game day. In the Gulf, add gates, bags, transport, prayer rooms and the schedule.
  • Membership and subscriptions. Salesforce’s Media Cloud page describes agents for subscription management, subscribers who upgrade, pause or update billing on their own, and churn risks surfaced before they become cancellations. The pattern fits a fan club, a season membership or a streaming service.
  • Sponsor and partner service, on the partner portal. Partners ask what is due from them, by when, and what has been delivered. An agent on an Experience Cloud portal answers from the contract’s deliverables, asset specifications and the event timeline, and Salesforce lists Experience sites among the channels for its help agent. In June 2026 Salesforce said the FIFA World Cup 2026 and the FIFA Women’s World Cup 2027 would use Agentforce to manage relationships and communications with host cities, suppliers and stakeholders.
  • A renewal assistant for commercial-rights sales. An employee agent in Sales Cloud prepares each renewal: contract terms, deliverables against each event, audience reports, the partner’s objectives and whether the category is still free. Media Cloud’s Ad Proposal Agent does similar work for advertising, gathering ad products, budget, timing and target segments before it builds a proposal and pitch deck. Of the sales agents Salesforce named in September, Piper works inbound leads and Hunter, in pilot, outbound pipeline, so you build the renewal assistant on your own rights data.
Agent Channel Data and systems it needs Actions it may take Where a person takes over
Fan service Web chat, WhatsApp, the app, voice Ticketing orders and seats, the event schedule, venue and access guides Find and resend a verified fan’s tickets, answer gate, bag, parking and schedule questions, open cases Refunds outside policy, safety reports, accessibility needs, complaints, cancelled or moved sessions
Membership and subscriptions Web chat, the app, WhatsApp Membership or subscription system, billing status, benefits Report renewal dates and benefits, change or pause plans within rules, apply approved retention offers Cancellations with refunds, billing disputes, offers beyond set limits
Sponsor and partner service Partner portal, email Contract deliverables in Sales Cloud, asset specifications, hospitality allocations Report deliverable status and evidence, share approved assets, log requests Make-goods, exclusivity questions, contract changes, disputes
Renewal assistant Sales Cloud, for the commercial team Account plan, contract, deliverables, audience reports, rights inventory Draft renewal briefs and proposals, run the exclusivity check, set tasks Price, discounts, exclusivity decisions, every message to the partner

What the agents need

Live systems and one fan profile. Tickets come from the ticketing platform, memberships from the billing system and the schedule from the organizer’s operations system, each read live through an action such as a flow or a MuleSoft API. Data 360, formerly Data Cloud, joins them into the profile in our guide to one fan profile for sport and media, and live timing stays with its own feeds, as our guide to event websites explains.

Verified fans only. The agent verifies the fan before it shows a ticket, a membership or a payment, with a method that works for fans who booked by phone number, through a relative’s account or in a corporate hospitality package.

Knowledge with owners. The venue guide, bag policy, accessibility guide, transport, refund policy and sponsor asset specifications each need an owner and approved Arabic and English versions. Prepare event-day messages in both languages, such as a weather delay or a gate change, and name who approves each on the day.

Capacity for the peak. Agentforce Voice has a default limit of 500 concurrent calls per org, raised through Salesforce Support, so check it against your forecast for the hours before gates open, well before race week. Staff the human queue for the same hours.

Guardrails and handover

A fan at a gate needs an answer in seconds, and the serious cases need a person as fast. Give each sensitive case its own subagent (the name Salesforce has used for topics since April 2026) whose only job is to hand over, and make the transfer a fixed step in Agent Script, which mixes deterministic logic with the model’s reasoning. Agree who can take the agent off a channel and route every conversation to people, and rehearse it.

Rules that stay with people at sports events and media services.

  • Safety: crowd, medical and security reports go straight to the venue control room, with the fan’s location if shared. The agent never tells a fan the matter is closed.
  • Accessibility: wheelchair spaces, companion tickets, sensory needs and step-free routes go to the accessibility team, who can book and change them.
  • Refunds and compensation outside published policy, and every request after a cancelled or moved session.
  • Complaints, as cases with the conversation attached.
  • Sponsor commitments: make-goods, exclusivity questions and contract changes.
  • Membership cancellations with refunds, and billing disputes.

Testing and measuring

Build the test set from last season’s contact reasons and the event plan: a weather delay, a gate change, a sold-out stand, a lost ticket, a wheelchair request, a sponsor asking about hospitality. The Agentforce Testing Center turns an agent’s subagents and actions into test cases, builds question-and-answer tests from knowledge and runs your own scenarios. Salesforce advises using it only in a sandbox, since tests can change CRM data.

Arabic needs tests of its own. Salesforce’s language support page lists Arabic as Beta and warns of inconsistencies when retrieving information. Agentforce Voice agents are monolingual, so a bilingual line needs one Arabic and one English voice agent, with callers choosing a language first. Arabic voice is also Beta, with limited support for settings such as the pronunciation dictionary, so test how it says driver, player, team and venue names. Our notes on Arabic and change management go further.

Measure each event against the last, by language and channel. Salesforce’s agent analytics report deflection (containment), escalation and abandonment rates, quality scores such as answer relevance and, for voice, an interruption rate, by subagent and action. Add complaints after agent conversations, refunds approved by people, and handovers that reached the right team first time.

Our work in sport and media

Arcsen is a Salesforce Summit partner with 170+ consultants and 400+ certifications, delivering in Arabic and English from Dubai, Riyadh, Jeddah, Doha and Cairo. Saudi Motorsport runs Formula 1 on Marketing Cloud and Data 360: fans, drivers and corporate partners from every SMC platform, unified into one Salesforce estate and activated for race week. The International Cricket Council, the global governing body for cricket, runs rights-and-services sales from lead to renewal. Our media clients also include Shahid and Argaam.

Where to start

  1. Pull last season’s contact reasons by week and channel, and mark what peaks in event week.
  2. Pick one agent, usually fan service, and agree its handover rules with the venue and ticketing teams.
  3. Connect ticketing and the schedule, and name an owner for each knowledge article in both languages.
  4. Check voice capacity and staff the human queue for the hours before gates open.
  5. Rehearse in a sandbox in Arabic and English, then go live at a smaller event before the main one.

Frequently asked questions

Which fan questions should an agent answer during race week?

Routine ones, from approved content and live systems: tickets after verification, gates, bags, parking, transport and the schedule. Refunds outside policy, safety and accessibility go to people.

Can Agentforce Voice take calls in Arabic and English?

Yes, with two agents. Voice agents are monolingual and Arabic voice is Beta, so run an Arabic and an English voice agent and test how names are pronounced.

Can an agent serve sponsors?

Yes, on a partner portal: deliverable status, approved assets and specifications, and requests logged as cases. Make-goods, exclusivity and contract changes stay with the commercial team.

How do we prepare an agent for peak demand?

Rehearse event-week scenarios in a sandbox with the Agentforce Testing Center, check the default limit of 500 concurrent voice calls per org and staff the human queue for the hours before gates open.

Can an agent handle membership cancellations?

It can explain options, change plans within your rules and make approved retention offers. Cancellations with refunds and billing disputes go to a person.
