Admissions teams in the Gulf and Egypt answer the same questions every cycle: what the programme costs, which certificates count, when the deadline falls, whether the transcript arrived. They come from applicants, parents and sponsors, by web, WhatsApp and email, in Arabic and English, and peak before every deadline. Then student services takes the next wave: registration, fees and letters.
Agents can answer many of these and pass the rest to people with the context attached. Admissions decisions, appeals, academic integrity and welfare stay with staff. This guide covers the four agents worth building first on Agentforce, what they need, where people take over, and how to test them. Our Education Cloud guide covers the platform from applicant to alumni, and our university websites guide the programme content the agents answer from.
Four agents worth building first
Salesforce’s Agentforce for Education lists prebuilt subagents for Student Recruitment, Financial Aid Inquiry, Transfer Credit, Course Search Support, Student Financials, Advising Support, Student Goal Guidance and Philanthropic Research. Treat them as starting points to configure. The four agents below draw on several:
- Admissions enquiries, on the website and in the applicant portal. Salesforce’s Student Recruitment agent answers from knowledge articles, books campus tours through a flow, reminds applicants of missing documents and can create the application record. A counselling-call booking can follow the same flow pattern.
- Applicant status, in the applicant portal after sign-in. It reports what has arrived, what is missing and the next step, and explains a decision only in the words of the letter already sent.
- Student services, in the student portal and on WhatsApp. Student Financials lets students view balances, set up payment plans and estimate future tuition, Course Search Support helps them find courses, and a case covers the rest, from an enrolment letter to a registration problem.
- Adviser assist, for advisers in Salesforce or Slack. Advising Support generates student summaries of advising details and can create tasks or cases, so the adviser starts each meeting with the record, alerts and open cases in one view.
| Agent | Channel | Data and systems it needs | Actions it may take | Where a person takes over |
|---|---|---|---|---|
| Admissions enquiries | Website, applicant portal and WhatsApp | Approved programme, fee, entry and deadline content per intake, and counsellor calendars | Answer, book a tour or counselling call, start an application | Equivalence of a specific certificate, scholarship eligibility, complaints, and anyone who asks for a person |
| Applicant status | Applicant portal after sign-in | The applicant’s own application, checklist and documents, and published decision dates | Report status and missing items, send the upload link | Questions about a decision beyond the letter, appeals, deferrals and special consideration |
| Student services | Student portal and WhatsApp, after sign-in or verification | Balances and holds from the SIS or finance system, class schedules, letter templates | Show balances, set up a payment plan within policy, open a case for a letter or registration issue | Fee waivers, refunds and holds, registration exceptions, anything about grades |
| Adviser assist | Salesforce and Slack, advisers only | Student record, alerts, cases and the notes the adviser may see | Summarize the record, list open items, draft notes and tasks | Every recommendation to the student: the adviser decides |
What the agents need
Approved content with owners. Salesforce advises that the knowledge articles behind the Student Recruitment agent contain only public-facing information, and a Data Library of articles and files needs Data 360 activated first. Give each programme family an owner in admissions, refresh fees and deadlines before every intake, and use the same fields the website publishes from the curriculum system.
Records and integration. Applications, checklists and decisions live in Education Cloud. Balances, holds and registrations often stay in the student information system or finance system, so the student services agent is only as current as its integration. MuleSoft or another integration layer brings balances in, or exposes them to the agent’s actions, with the student ID on every record.
Identity before personal data. In a logged-in Experience Cloud portal, the service agent runs as that applicant or student, under their permissions and sharing rules, so it sees only their own file. Visitors and people verified in chat are served by an agent user with minimal access. Parents and sponsors need a rule of their own: Education Cloud’s Delegated Access Management, added in Winter ’27, lets a student grant a trusted person specific access for a set period and revoke it. The agent should answer a parent only within that grant.
Staff permissions. Employee agents follow the same permissions and security settings as the person using them, so an adviser’s summary holds only what that adviser may see. Agree with student services which wellbeing notes advisers can read before the summary goes live.
Guardrails and handover
Universities make decisions that change lives, and applicants contest them. Write down what the agents must never do before deciding what they will do.
Handover runs through the Escalation subagent and an Omni-Channel flow, and the conversation history goes with it. The agent tries the transfer once per session; if nobody is free, the flow ends and the agent keeps talking. In deadline weeks and at night that is normal, so build the fallback: a case with the question, the programme and a callback request in the student’s language.
As of October 2026, Salesforce’s language support page lists Arabic as Beta and warns of inconsistencies when retrieving information, and only agents built in the new Agentforce Builder switch language within a conversation. Test Arabic questions that contain English programme names, and route Arabic conversations the agent cannot serve to an Arabic-speaking adviser.
Testing before launch, measuring after
Build the test set from last cycle’s real questions, in Arabic and English, from applicants, parents and students, and add the hard ones: a request to change a decision, a question about someone else’s file, a parent without delegated access, a student in distress. Test Suites (Beta) in Agentforce Studio run batches of scenarios and show the expected and actual subagents, actions and response, with a pass or fail. Run them in a sandbox, never in production, as Salesforce advises, and set the pass mark against how accurately your staff answer the same questions.
After launch, track by programme and language:
- Containment, read against repeat contact: an answered question followed by an email to admissions is a miss.
- Handover quality: whether staff received the programme, the applicant and the question, so nobody asks twice.
- Accuracy: sampled transcripts checked against approved content, before each intake and in deadline weeks.
- Complaints and corrections that involve the agent.
- Tours and counselling calls booked through agent conversations.
Agentforce Session Tracing, which shows every step of a session, requires Data 360.

Where to start
- Collect last cycle’s most common questions by channel and language, and mark which need personal data.
- Clean the content for one intake: fees, entry requirements and deadlines per programme, approved by an owner in both languages.
- Launch admissions enquiries first, since they need no personal data, then add applicant status once portal sign-in and sharing have passed testing.
- Write down the decisions that stay with people and the handover path for each, nights and deadline weeks included.
- Run the Arabic and English test set in a sandbox before the next intake opens.
Frequently asked questions
Can an AI agent make admissions decisions?
It should not. Agents answer questions, report status and prepare cases. Admissions decisions, appeals, academic integrity cases and welfare concerns stay with staff.
Which agents does Education Cloud offer?
Salesforce lists prebuilt subagents including Student Recruitment, Transfer Credit, Student Financials and Advising Support. Confirm which are available in your org before you plan around them.
Does Agentforce work in Arabic?
Salesforce lists Arabic as Beta in its language support documentation. Test in both languages, and route Arabic conversations the agent cannot serve to an Arabic-speaking adviser.
Can the agent discuss a student’s fees with a parent?
Only within access the student has granted. Delegated Access Management in Education Cloud lets a student give a trusted person specific access for a set period, and revoke it.
Do the agents need Data 360?
Plan on it. Data 360 must be activated before you set up a Data Library for grounding, and Agentforce Session Tracing requires it.
